Summary: Receives, processes, and follows up on all IS related, purchase orders, expenditures, project requests, and invoices for use in maintaining IS capital and expense procurement by performing the following duties.

Essential Duties and Responsibilities include the following.  Other duties may be assigned.  

Receives and process all project requests for capital expenditures 

Process all equipment and software purchase order requests in Coupa. 

Validate with IT supply vendors availability and lead time of equipment 

Maintain order catalog (Coupa catalog) and work with supply venders to update catalog with new items/part numbers with updated pricing as needed. 

Assist new vendors and current vendors experiencing issues receiving purchase orders or getting setup in Supplier Hub.

Work with the Enterprise to ensure all necessary information is included in purchase orders to be processed in a timely manner including resolving any rejected requisitions.

Ensure new vendors are approved and added as needed in Supplier Hub

Assist with various refresh and rollout projects by maintain and managing project plan books and ensuring to take notes during project meetings

Follow up with supply vendors to ensure equipment is received by providing proof of delivery or confirming with onsite contact wo receives equipment.  

Communicate with business users and IT project managers on status of requisitions and purchase orders

Assist with recording and inputting invoices for approval for payment

Ensuring all invoices are processed in a timely manner and track any outstanding PO’s that have yet to be invoiced

Follow up with vendors on any outstanding PO’s that are yet to be invoiced and ensure they are processed in a timely manner

Work with IS accounting on resolving any issues with budget variances or invoice disputes

Maintain project request forms, and adhere to policies, and procedures related to processing purchase orders 

Track user software licenses for various applications and assign licenses as to users as permissions allow

Identify and resolves problems and inconsistencies and suggests appropriate correctives
procedures.

Communicates and coordinates accounting policies, practices and procedures with department and company managers and officials, vendors, reporting agencies, clients, customers, and the public.

Maintain harmony among workers and resolves grievances.

Adjusts errors and complaints.

Qualifications:

Education/Experience:
