Your Purpose
The Assistant Property Manager is responsible for the comprehensive management and administration of the company’s owned and leased real estate portfolio, ensuring all locations operate efficiently, comply with lease terms, and maintain positive landlord and tenant relationships. This role involves negotiating leases and contracts, overseeing property maintenance and compliance, managing financial aspects such as rent, CAM, and budgets, and coordinating with internal departments and external partners (e.g., landlords, brokers, subtenants, and service providers). The individual serves as the primary contact for property-related issues, including emergency situations, lease renewals, construction coordination, environmental compliance, and financial reporting, while supporting corporate real estate operations and ensuring alignment with company objectives.
What You’ll Do
Property and Lease Management
- Serve as the primary property management contact for all Harris Teeter-owned locations, including being on call after hours and weekends.
- Manage day-to-day operations of owned properties and shopping centers, including tenant relations, repairs, landscaping, maintenance, and compliance with safety and fire sprinkler guidelines.
- Oversee lease administration for owned and subleased locations — track key lease dates, renewals, termination rights, rent commencements, and environmental obligations.
- Negotiate and manage new leases, renewals, and broker agreements for Harris Teeter-owned and subleased properties.
- Oversee landlord and tenant requests, including lease right waivers, expansions, exclusive rights, and special consents (e.g., telecom requests, propane installations, HT Pick Up, and special events).
- Support construction department by submitting landlord-required documents and ensuring pad acceptance criteria and remodel requirements are met.
Financial Administration
- Prepare and manage annual operating budgets and lease-related accounts for owned and leased properties, including rent, CAM, taxes, and other real estate expenses.
- Handle rent collections and processing from subtenants and tenants; assist with delinquency reports and collections.
- Manage CAM reconciliation, research financial variances, and process bill-backs and accruals as required.
- Calculate and report percentage rent to landlords, including payments.
- Track and report executory costs, operating costs, and yearly accruals to corporate accounting.
- Process and track vendor invoices for maintenance, repairs, and operating costs at self-maintained locations.
Maintenance and Compliance
- Oversee all property maintenance and service contracts for owned properties and Harris Teeter-maintained fuel centers.
- Negotiate maintenance agreements with service providers and ensure timely completion of repair requests.
- Manage common area maintenance (CAM) issues and coordinate resolution of landlord and tenant maintenance responsibilities.
- Process and respond to ADA compliance notices and other regulatory requirements.
- Serve as backup contact during emergency situations (e.g., hurricanes, snow events) and coordinate response with landlords and service providers.
Data and Lease System Management
- Maintain accurate and up-to-date records in the REM database, including subtenant lease information, key lease terms, and rent details.
- Prepare lease abstracts and summaries for management reporting.
- Support documentation and tracking related to subtenant income, rent booking, and security deposits (including seasonal student housing).
Communication and Coordination
- Serve as liaison among landlords, tenants, brokers, attorneys, insurance carriers, and internal departments (construction, accounting, and operations).
- Address and resolve landlord or tenant issues promptly and professionally, maintaining positive relationships and protecting the company’s leasehold interests.
- Provide information and documentation for insurance claims, capital transactions, and lease modifications.
- Support due diligence activities and real estate transaction closings as assigned.

What You Bring
- Bachelor's degree (B. A.) from four-year College or university; or three to five years in commercial property management, lease administration, or corporate real estate; or equivalent combination of education and experience.
Preferred
- Proficiency with lease administration software (such as REM, MRI, Yardi, or similar platforms) and Microsoft Office Suite (Excel, Word, Outlook).
- Experience managing multi-tenant retail centers, subleases, or fuel center operations strongly preferred.
- Strong understanding of commercial lease terms, CAM reconciliations, real estate accounting, and budgeting.
- Strong analytical and organizational abilities, with attention to detail and accuracy in financial reporting and documentation.
- Ability to prioritize and manage multiple projects in a fast-paced environment, including emergency or after-hours situations.
- Familiarity with environmental, ADA, and regulatory compliance related to property operations.
Physical Demands
Physical demands include, but are not limited to, high aptitude for standing and walking endurance, sitting while driving to various stores, lifting and carrying up to 50 pounds, pushing and pulling climbing ladders of various types, bending, squatting, and kneeling, and working in different temperatures inside and outside the store.
